Terms & Conditions

For the purpose of these terms and conditions and the avoidance of doubt the ‘hirer’ will be the person responsible for making the booking and making payment. The ‘Company’ will be Spotlight Limo Cruisers Limited.

1 - Hirer

The hirer will be responsible for ensuring they and their party adhere to all the terms and conditions outlined below. The hirer will also be liable for any damage caused both inside and outside of the vehicle by any member of his/her party. This includes any incitement to any third party which results in damage to the limousine and/or its contents. In the event that such damage renders the vehicle out of commission the hirer shall be liable for any losses incurred whilst the vehicle is being repaired including lost bookings.

2 - Payment

A 10% deposit must be paid for the hire at the time of booking. Any balance must then be made in full at least seven days prior to the hire date. Any hires booked within seven days of the hire date must be paid in full at the time of booking. Payment will be accepted by cash, cheque, or credit/debit card. A 1.0% charge will be made for payments made by credit card up to a maximum of £5. There will be no charge for debit cards. Deposits are non refundable other than in respect of condition 5.1 and 5.2.

3 - Insurance

The Company has full Public Liability Cover Insurance.

4 - Confirmation of booking

The company will provide written confirmation of the booking within 5 working days of the booking being confirmed by the hirer.

5 - Cancellations by the hirer

  1. Cancellations prior to payment will incur no charges other than loss of deposit.
  2. Cancellations less than seven days but more than 72 hours prior to the hire will receive 75% refund.
  3. Cancellations within 72 hours of the hire start time will receive 50% refund.
  4. Any cancellations where a subsequent hire can be made by the Company for the same period the hirer will receive a full refund if the new hire charge is equal to or greater than the original hire charge. If the new hire charge is less than the original hire charge then the amount of the new hire charge will be refunded subject to a minimum refund as per condition 5 b) and 5 c).

5.1 – Delays and Cancellations by the Company

Where the hire is cancelled by the Company and part or full payment has been made a full refund, including deposit, of any monies paid will be made within 7 days of the cancellation however no refund will be given if the Company cancels the hire either before or during the hire due to the actions of the hirer or other members of the party as per condition 12.

The Company accepts no responsibility if the hire is delayed or cancelled due to unexpected and unavoidable traffic delays or adverse weather conditions (ie snow, flooding etc) and no refunds will be given.

5.2 - Accidents / Breakdowns

The Company shall supply the vehicle as instructed. However, in the unlikely event of an accident or mechanical/electrical fault the Company will endeavour to provide a suitable alternative vehicle to continue the hire. Any additional costs will be covered by the Company.

In the event that no suitable alternative vehicle is available the Company will cover all reasonable costs for alternative arrangements that are necessary.

The Company cannot accept liability for any missed connections or other events howsoever caused.

6 - Alcoholic Beverages

Alcoholic beverages must at all times be ordered prior to the hire and only from the Company. The cost will be included in the hire charge itself. If further alcohol is required after the hire charge has been paid in full then it must be paid for at the time of order.

Under no circumstances will alcoholic beverages that have not been purchased from the Company be allowed to be carried or consumed by any member of the party with the exception of pre arranged carriage where the alcohol will only be carried in the luggage space of the vehicle.

Under no circumstances will additional alcoholic beverages be made available for sale during the hire.

Please note that Spotlight Limo Cruisers adheres to a voluntary code of practice whereby alcohol is not available for purchase on any hire that is for the direct or indirect carriage of passengers to a designated Association Football Match. Additionally, on such hires it will not be permissible to carry any alcohol under any circumstances anywhere on the vehicle.

6.1 - Age restrictions in respect of alcoholic beverages

  1. Alcoholic beverages will not be sold or served to any member of a party where the entire party are under the age of 18 years.
  2. Where the party is a mixture of those both over and under the age of 18 years then alcoholic beverages may be purchased but may only be consumed if a concierge is on board and by those members of the party who can produce photographic identification showing them to be over 18 years of age. (photographic evidence of ID that will be accepted will be either a driving licence, passport or proof of age card supported by the PASS logo)
  3. Where the entire party is over the age of 18 years then alcohol may be consumed without restriction however where in the judgment of any representative of the Company members of the party are reasonably believed to be under the age of 18 years of age then where a concierge is on board b) will apply. Where no concierge is on board then no member of the party will be allowed to consume alcoholic beverages regardless of whether or not photographic evidence of ID has been provided. Additionally all alcoholic beverages will be removed from the cabin area and no refund will be offered. Under these circumstances the alcoholic beverages may be reclaimed by the hirer after the hire has concluded and if he/she can provide photographic evidence of ID that they are over the age of 18 years.

6.2 - Returns of Alcoholic beverages

Any alcoholic beverages that have been purchased but not been consumed during the hire may be taken by the hirer at the conclusion of the hire. Alternatively arrangements can be made for them to be collected within seven days following the date of the hire. No refunds or returns will be made for any alcoholic beverages that have not been consumed and remain unclaimed after seven days following the date of the hire unless otherwise agreed by the Company.

7 - Other Food and Beverages

Only food and beverages that have been purchased through the Company may be consumed during the hire unless agreed with the Company prior to the hire. Under no circumstances may hot food or drink be consumed on board the vehicle although they may be consumed off the vehicle at any time.

8 - Smoking

Under no circumstances will smoking be permitted, at any time, on board the vehicle.

9 – Loss/Damage of personal items

The Company does not accept any responsibility for any personal items lost or stolen whilst the limousine is under hire.

10 – Accidental damage

Action will be taken to recover, from the hirer, reasonable cleaning, or other costs, incurred by the Company due to accidental damage or mess caused through misuse of alcohol or any other reason.

11 - Wilful damage and Anti Social behaviour

Any circumstances of wilful damage to the vehicle or Company property or acts of anti social behaviour towards representatives of the Company, other members of the party or members of the public or the conduct of, or reasonable suspicion of, any illegal activity taking place will leave the hire subject to immediate termination and police involvement. Compensation will be vigorously sought by the Company.

The Company has a zero tolerance policy towards verbal abuse, physical threats or actions or any type of anti social behaviour towards its employees and/or representatives.

The Company, or any representative of it, reserves the right to refuse entry to the vehicle to any person/persons they deem unfit for whatever reason and for which they consider the behaviour of such person/persons to be detrimental to other persons, the vehicle or its contents.

12 – Alterations to the booking

Any extra requests or alterations to the booking (ie additional pick up points, changes of destination causing extra mileage and time) not made at the time of booking/confirmation cannot necessarily be accommodated, although every effort will be made to meet the requirements of the hirer.

13 – Additional charges

Once the booking is made, confirmed and deposit paid, the hire charge will not be subject to change unless:

  • additional requests or alterations are made to the hire as per condition 12.
  • airport collections run over time.
  • sporting events or other events are significantly delayed.

Additional time charges will be £30 for the first full half hour and £100 for the first full hour and £100 for every subsequent full hour and will be charged at the discretion of the Company.

14 - Termination of Hire

The Company at any time reserves the right to cancel the hire either prior to commencement, or during, the hire:

  • For Health and Safety reasons.
  • If any of these terms and conditions are broken.
  • For any reason to ensure legal compliance.
  • For any reason outside the Company’s control.
  • For any other reason of ‘force majeure’
